Repository Accounts

Users may create a Repository Account to access and manage records associated with them.

An email address is used to identify and verify the account. Where existing repository records contain the same verified email address, those records may be associated with the Repository Account so that they can be accessed through the user’s account.

Account passwords are stored securely using one-way password hashing and are not stored in readable form.

Email verification and email-based security codes may be used to confirm a user’s identity when signing up or signing in.

Documents and Records

Public Record Éire stores documents and associated information submitted by users.

The person submitting a document is responsible for ensuring that they are entitled to submit and store the document and any personal information contained within it.

Documents may be protected using a Document Access Password. This password is separate from a user’s Repository Account Password and can be provided by the person concerned to another person who requires access to the record.

Access to a protected document does not make that document generally available to the public.

Document Access Passwords

Document Access Passwords are used to control access to protected repository records.

Public Record Éire uses these passwords to authenticate requests for access to relevant documents. Users are responsible for keeping their Document Access Passwords secure and for deciding to whom they provide them.

A Repository Account Password and a Document Access Password serve different purposes and should not be treated as interchangeable.

Blockchain Timestamping

Documents submitted to the repository may be automatically timestamped and anchored to a public blockchain to provide evidence relating to the existence of a digital record at a particular point in time.

The complete contents of a private document are not published to the blockchain as part of this process. Cryptographic information derived from the document is used for timestamping and verification.

Information written to a public blockchain may, by its nature, be permanent and cannot necessarily be altered or deleted.

If you contact Public Record Éire through our contact form, we collect the information you provide, such as your name, email address and message.

This information is used to respond to your enquiry and for any necessary follow-up correspondence.

Please do not include sensitive personal information in a general contact-form message unless it is necessary for your enquiry.

Account information is retained while an account remains active and may be retained afterwards where necessary for security, administrative or legal purposes.

Contact-form correspondence and security/activity records are retained only for as long as reasonably necessary for the purposes for which they were collected.

Certain blockchain timestamp information may be permanent because information recorded on a public blockchain cannot ordinarily be deleted or altered.
